FEE PAYMENT AGREEMENT
Purpose
For caregivers and guardians to understand and agree to the Fee Payment terms and conditions of Chambers Childcare Services (Service) as detailed in our policies; POLQA7_0000005 | PAYMENT OF FEES POLICY
Fees
● Fees will be charged based on our most current published fees which are available on request.
● Late pickups will incur a fee of $1 per every minute past the scheduled session time. This late charge will be added to the family account for payment.
● A $20 fee will be applied to your statement if an afterschool care booking is made and you neglect to notify the Service that your child will not require school pickup.
● Vacation Care Bookings must be made 5 business days prior to the week containing the requested booking in order to receive the Advanced Booking Rate, this is subject to no late payment.
● The Primary and Secondary Parent/guardian as listed on the Enrolment Form will be jointly liable for the payment of any fees or charges outstanding.
● Families may be entitled to (CCS) and must apply with the Australian Government directly. The family must maintain the required obligations of the Government to ensure that their CCS is in place. Each family’s gap fee amount varies depending on the family’s eligibility for the CCS provided by the Australian Government.
● Fees, Statements and booking information are available on your parent OWNA app.
Bookings
● Parents/guardians will be liable to pay full fees if your child does not attend their first booked day of care as per their enrolment commencement date. No CCS will be applied to an absence on the first day of booking.
● Five business days notice of amendments to permanent Long Day Care (LDC) and Before and After School (BSC/ASC) bookings must be given in writing to the Service.
● 48 hours notice of amendments to casual Long Day Care (LDC) and Before and After School (BSC/ASC) bookings must be given in writing to the Service.
● Withdrawals or amendments to Vacation Care bookings must be given in writing to the Service 5 business days prior to the week containing the original requested booking.
Absences
● Families are charged for all days their child is booked into the Service irrespective of their attendance due to illness, family holidays or public holiday. The Child Care Subsidy (CCS) continues to be paid for 42 absent days per financial year for any reason including illness, family holidays and public holidays. Once these allowable absences are exhausted, the family may no longer be eligible for the CCS on days when the child is absent from our Service and must pay the full fees.
● Parents/guardians can provide a medical certificate which will be documented by the Service as evidence of an absence due to illness. It is at the Government/CCS determination as to whether the illness related absent day contributes to the 42 allowable absent days.
● Other special circumstances may lead to an increase in the child’s absences days covered by CCS, which can be discussed with the Service.
● We require two weeks' written notice to the Service of an absence due to family holidays. A Reduced Holiday Rate may apply for permanent bookings for family holidays.
Cessation of Care
● Two weeks notice of cessation of care for permanent Long Day Care (LDC), Before and After School (BSC/ASC) and Vacation Care must be given in writing to the Service.
● No CCS will be applied to an absence on the last day of booking in the termination period, or any absences immediately prior to this last absence
Payment
● Fees are to be paid by the Service's current set direct debit schedule, including Vacation Care bookings.
● Payments can be made weekly or fortnightly. All payments must be paid at least one week in advance (weekly) or two weeks in advance (fortnightly).
● All payments to be made directly through OWNA via direct debit or manual payment.
● Invoices are generated and OWNA Family Accounts are updated every Wednesday.
● Parent/guardian bank accounts/credit cards payments are scheduled for Thursdays and any OWNA manual payments are required to be made on Thursday.
● You will be charged any fees necessary to collect any monies owed by you to Chambers Childcare group. We reserve all rights in regards to recovery of any amounts owing.
● Should you experience financial difficulties please contact the Service at your earliest opportunity for further assistance. (If applicable to Service's direct debit schedule)
Chambers Childcare Fee Payment Terms and Conditions are subject to updates at any time.
